“We need a CRM” can describe several different problems. A business may need to stop losing messages, clarify who calls back, prepare for a visit, track a quotation or bring an old customer back. The right system begins by naming the leak.
Four pieces to make visible
- Ownership: one person or role is responsible for the next response.
- Status: the team can see where the conversation stands.
- Context: the latest useful remark travels with the enquiry.
- Next action: the task and due date are clear enough to act on.
Then add the checkpoints the business actually uses: a consultation, site visit, quotation, admission meeting, job visit or reservation request. Avoid adding stages that nobody understands or keeps current.
Choose the smallest tool that fits
A shared, well-maintained register may work for a small operation. A no-code app such as AppSheet may suit a structured workflow that needs mobile forms, roles or clearer status views. A custom CRM or API integration can make sense when process complexity or existing systems justify it. None of those choices fixes a process if the team does not adopt it.
Before building, agree who owns the data, what information is needed, who may see it and how long it should be kept. For schools, clinics and professional firms, these questions matter as much as the screen design.
